
What exactly are your responsibilities as a Keyholder?
You must ensure that you are contactable in the event of any alarm activation at all times. Inform the property owner of any commitments (including holidays or weekends away) that prevent you being able to attend alarm activations. Similarly, any change of address and/or your contact numbers are vital information for the Keyholder Database to function properly. You must ensure that the person who you hold keys for has your up-to-date contact details and these are registered on the Police Keyholder Database. if you don't want to do this: contact us
YOU MUST ABLE TO ATTEND THE PROPERTY IN UNDER 20 MINUTES. You are also responsible for resetting the alarm system after the property has been secured. To do this, you will need to know how the system works, the alarm PIN numbers, entry and exit routes etc. You must ensure that the up-to-date contact details of the person who holds keys are registered on the Police Keyholder Database.
When an alarm is activated and I am called to the property, what will I be expected to do? In the event of the property’s alarm being activated you, as a Keyholder, will be expected to do the following:
Attend the premises without delay within 20 minutes with the property keys and turn off the sounding alarm as soon as possible. The Keyholder must check that the building is clear, ensure that there is no damage to the property. If repairs do need to be carried out, then it is your responsibility to organise them e.g. call a locksmith, glaziers or a boarding up company to temporarily repair any damage until the insurance company give approval to carry out the repairs. Finally, when the property is safe to leave, reset the alarm system and lock-up the property.
The call-out procedures for the Police depend on the type of alarm used for the property e.g. monitored, central station alarm or audible only. When will the Police attend? They will attend central station monitored alarms – but normally only the first three false alarms. Local authorities have a legal power to obtain a warrant and enter premises to switch of an alarm that sounds for longer than the statutory 20 minutes and claim back the costs.
Do you really want to be called out in the early hours?
As an employer you have a duty of care to all your staff. Do you want them out in the middle of the night? On their own not knowing what they will face in your premises?

We are on duty 24 hours a day, 7 days a week 365 days a year whether it is for an alarm response, lost key or for other unforseen circumstances.
1. How do I know my keys will be secure? The security of your property, keys and security information is our topmost priority. We are inspected every 6 months by the National Security Inspectorate (NSI), customers are invited to check our systems and secure control centre any time they wish. There is no reference to any property on any key or any paperwork taken by the patrol officer to site. A signature trail is maintained at each stage of every movement of keys, from the moment that they are removed from the Control Room until the moment they are logged back in.
2. Is your business regulated? We have been awarded several accreditations within the security industry.
3. How do I know that your Staff can be trusted? All our staff are security screened and vetted to BS 7858:2006. Our staff are only employed subject to the satisfactory outcome of this procedure. They then have to complete an internal training programme of up to 12 weeks before they are qualified to act on their own. All our Security staff are full-time employees. We carry a full vetting file on each member of our team.
4. What insurance do you have? UKBW has substantial Public Liability Insurance incorporating a specialist risk policy governing the holding of a third party's keys.
5. What happens if I want my keys back? You can request your keys back at any time. All we require is written confirmation from you and we can then deliver them to you (subject to any outstanding fees being paid).
